This Privacy Policy explains how Christ the King Catholic School (“the School,” “we,” “us”) collects, uses, and shares information when you visit our website, use the parent and volunteer portal, submit a form, or make a payment through the site. By using the site, you agree to the practices described here.

Who this policy covers

This policy applies to visitors of our public website and to parents and guardians who create portal accounts. Portal accounts are for parents and guardians only. Students do not have accounts, and the site is not directed to children under 13.

Information we collect

Information you provide directly. We collect information when you fill out a form or register for the portal. Depending on the form, this may include:

  • Your name, email address, and phone number (contact and attendance forms)
  • Donation amount and billing name (Give Now form)
  • Volunteer registration details and logged volunteer hours
  • Portal account details: parent or guardian name(s), email address(es), phone number(s), a username, and your home address (optional)
  • Your child’s name and grade level, so volunteer hour requirements and directory listings can be associated with the correct family

We do not collect medical or health information through the website.

Payment information. Payments made through the site are processed by Stripe. Card numbers are entered directly into Stripe’s secure payment fields and are transmitted to and stored by Stripe. The School’s website and servers never receive or store your full card number. Stripe’s handling of your information is described in the Stripe Privacy Policy.

Information collected automatically. Like most websites, our hosting, security, and site statistics providers automatically record technical information such as your IP address, browser type, device type, pages visited, and the date and time of your visit. This information is used to keep the site running, secure it against abuse, and understand how the site is used.

How we use information

We use the information we collect to:

  • Respond to your inquiries and attendance notices
  • Process donations and payments
  • Manage parent and volunteer accounts, track volunteer hours, and send volunteer hour reminders
  • Maintain the private school directory for families who opt in
  • Send school communications and newsletters you have requested
  • Operate, secure, and improve the website
  • Comply with legal obligations

Parent and volunteer portal

The portal is a password-protected area for current School families. Information you enter there, including volunteer records and your child’s name and grade, is visible to you and to authorized School staff, who may review and export it for volunteer tracking and reporting.

Private school directory

The school directory is available only to approved, logged-in portal users. Inclusion in the directory is optional. When you create or update your account you can choose whether each of your contact fields (parent names, email, phone, and home address) appears in the directory, or opt out of sharing that information in the directory. You can change these choices at any time by editing your account or contacting the School office.

Directory information is provided for School community use only and may not be copied, shared, or used for commercial or solicitation purposes.

How we share information

We do not sell your personal information. We share information only with service providers that help us operate the website and communicate with families, and only as needed for those purposes. These include:

  • Pressable (website hosting) and Cloudflare (security and performance), which process technical visit data as part of delivering the site
  • Stripe, which processes donations and payments
  • Brevo, which sends email on our behalf, including form notifications and volunteer hour reminders
  • Automattic, which provides Jetpack (site statistics, uptime monitoring, and login protection) and Akismet (spam filtering for forms and comments). Automattic’s handling of visitor information is described in its Privacy Notice for Visitors.
  • Smore, which hosts and distributes our email newsletter
  • Google, whose services we use for reCAPTCHA Enterprise (spam and abuse protection on forms), Google Analytics, Google Search Console, embedded Google Calendars, and embedded Google Maps

We may also disclose information when required by law, to protect the safety of students, families, or staff, or to protect the rights and property of the School.

Analytics

We may use Google Analytics to understand how visitors use the site, such as which pages are viewed and how long visitors stay. Google Analytics uses cookies and collects information such as your IP address, device and browser details, and site activity. This information is processed by Google under the Google Privacy Policy. You can opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on.

We also use Jetpack Stats, provided by Automattic, which records page views and general visitor information such as IP address, browser, and referring site.

Spam and abuse protection

Our forms are protected by Google reCAPTCHA Enterprise, which helps us distinguish real visitors from automated bots. reCAPTCHA runs in the background when you load or submit a form and collects information such as your IP address, browser and device details, and how you interact with the page. Google processes this information on our behalf solely for security, fraud, and abuse prevention.

Form submissions and comments are also checked by Akismet, an anti-spam service from Automattic. Akismet receives the content you submit along with your name, email address, IP address, and browser details, uses them only to determine whether the submission is spam, and deletes most of this data within two weeks to ninety days. Jetpack Protect also records the IP addresses of failed login attempts to block brute-force attacks on portal accounts.

Embedded content from other services

Pages on this site may include content from third-party services, including YouTube videos, Google Calendars, Google Maps, and Facebook and Instagram feeds. When a page containing embedded content loads, the third party may collect information about your visit, set cookies, and track your interaction with the embedded content, just as if you had visited that service directly. Their collection is governed by their own privacy policies, not this one.

Cookies

Our site uses cookies and similar technologies for the following purposes:

  • Essential cookies, including the cookies WordPress sets when you log in to the portal so that you stay signed in and the site can protect your session
  • Analytics cookies set by Google Analytics, if enabled
  • Third-party cookies set by embedded services described above
  • Security cookies set by Google reCAPTCHA to help detect automated abuse

You can block or delete cookies through your browser settings. Blocking essential cookies will prevent you from logging in to the portal.

Do Not Track

Some browsers offer a “Do Not Track” setting. There is currently no accepted standard for how sites should respond to these signals, and our website does not respond to Do Not Track signals.

Children’s privacy

This website is not directed to children under 13, and we do not knowingly collect personal information from children through the site. Portal accounts may be created only by parents and guardians. Student names and grade levels are provided by parents solely to support volunteer tracking and the private directory, and are not made public. If you believe a child has provided personal information to us through the site, contact the School office and we will delete it.

How long we keep information

Form submissions and volunteer records are kept in our website system until the School determines they are no longer needed or you ask us to delete them. Portal accounts and directory listings are kept while your family is enrolled at the School and are removed after your family leaves. Payment records are retained as required for accounting purposes.

Security

We use reasonable administrative and technical safeguards to protect your information, including secure (HTTPS) connections, password-protected accounts, and limited staff access to portal and form data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your choices

  • Review, correct, or delete your information. Contact the School office using the details below to request a copy of the information we hold about you, to correct it, or to ask that it be deleted. Portal users can update most account information by logging in.
  • Directory. Change your directory preferences at any time in your portal account or by contacting the office.
  • Email. Use the unsubscribe link in any newsletter to stop receiving it. Account-related emails, such as volunteer hour reminders, are sent as part of the portal service and stop when your account is closed.

Links to other sites

Our site contains links to other websites, including parish, archdiocesan, and third-party sites. We are not responsible for the privacy practices of other sites and encourage you to review their policies.

Changes to this policy

We may update this policy from time to time. When we do, we will post the revised policy on this page and update the “Last updated” date at the top. Continued use of the site after a change means you accept the updated policy.
